No licence, no register, no renewal notice

ESA letter renewal, explained

People search for licence renewal and renewal fees, and neither describes what happens. Nothing is being extended and no authority is being updated. A clinician reviews your circumstances again and issues a fresh assessment - which can, legitimately, come to a different conclusion.

ESA licence renewal and renewal fees

Both phrases turn up constantly in searches and neither describes what happens. No licence is issued to you and no register is updated. A clinician reviews your circumstances again and reaches a fresh conclusion.

Four things to understand

What renewal actually is

The word borrows from subscriptions and driving licences, and both comparisons mislead. Here is what is really happening.

Timing by situation

When to start

Renewal is one of the few things in this field where being early costs nothing and being late costs a great deal.

  1. 8 weeks out

    Fixed lease renewal

Count back two months from the renewal date. Leasing teams process accommodation paperwork alongside renewals and that fortnight is their busiest.

  2. 12 months

    Rolling tenancy

No natural prompt exists, which is why these lapse most often. Diarise it from your last assessment date.

  3. Spring

    Campus housing

Universities review annually on the academic calendar, with deadlines closing months before term rather than at its start.

  4. On notice

    Landlord has asked

Reply in writing with a date, then book. A short co-operative answer with a timescale defuses nearly all of these.

  5. Before moving

    New state

A new tenancy needs an author licensed there. Time the review to the move itself, instead of discovering the problem when a new landlord turns the old paperwork down.

Preparation

What to bring to a review

None of this is mandatory, and all of it makes the appointment shorter and more accurate.

What you do not need is your previous letter's wording, a registry number, or anything from a certificate seller.

Handling the request

When a landlord asks for something newer

Three versions of the same request, and a reply that keeps each one administrative rather than adversarial.

Ten answers

Renewal questions

How does ESA letter renewal work?
Somebody licensed where you live looks at your situation a second time and, where nothing has moved, writes a new assessment. It is shorter than a first appointment because your background is already on file, but it is a real review rather than a reprint.
Is there an ESA licence renewal?
The phrase turns up in searches and there is no such thing - no licence is issued to you or to your animal. What renews is the currency of a clinician's assessment, which is a different idea wearing a similar word.
What is the renewal fee?
Whatever the applicable plan states, shown on the pricing page and drawn from live settings. There is no separate registry or licence charge, because neither exists.
Do I need a new letter every year?
No rule requires it. Leasing offices widely expect documentation under twelve months old, so most people renew annually to stay ahead of that expectation rather than because a deadline compels them.
Can I renew with a different clinician?
Yes, though it is then effectively a first assessment for that professional and takes correspondingly longer. Staying with someone who knows your history is usually quicker.
What if my circumstances have changed?
Say so plainly at the review. Capturing a real change is the whole purpose of reviewing, and paperwork describing you as you are today stands up far better than a copy of last year's.
Can a renewal be declined?
It can. A review that could only ever confirm the previous answer would not be a review, and a clinician who cannot reach a different conclusion is not exercising judgement.
When should I start?
Around two months ahead of a lease renewal; failing that, a year on from the last assessment. Starting early costs nothing and removes the deadline pressure entirely.
Must I inform the landlord that a review has happened?
Not unless they asked for something current. Many people renew quietly and produce the new assessment only if it is ever requested, which is a perfectly reasonable approach.
Does renewing reset anything for my animal?
There is nothing attached to the animal to reset. The thing brought up to date is how recent that professional judgement is, and it is the only element here with an age at all.

Renew before somebody asks you to.

Holding something recent reduces an uncomfortable demand to a piece of admin. The screening costs nothing and a licensed clinician takes it from there.
